Privacy Policy

Who we are

Marvz Solutions is operated by Marvie Monteroso in the Philippines. We provide website, lifecycle email marketing, CRM, and automation services.

This policy explains how we handle personal information through marvzsolutions.com, check.marvzsolutions.com, our business assessments, inquiry and booking forms, and related communications.

For questions or privacy requests, contact hello@marvzsolutions.com.

Information we collect

When you complete an assessment, we collect your first name, email address, company website, selected assessment, answers, scores, recommendations, and summary. We also record submission times, request identifiers, and any follow-up email preferences you provide.

Your contact details may be saved when you start the assessment, before you finish answering the questions.

We may also obtain business contact information from Apollo, other lead databases or CRM providers, referrals, and publicly available business sources. This may include your name, business email address, job title, company name, company website, and professional contact information. We record the source where available. You can contact us to ask where we obtained your information.

If you contact us or book a call, we may collect your name, contact details, business information, appointment details, messages, and information you choose to share about your project.

Our hosting and service providers may process technical information such as IP addresses, browser information, request details, and security or error logs to operate and protect the services.

Please do not submit passwords, payment card details, sensitive personal information, or confidential information about other people through an assessment.

How we use your information

We use your information to:

  • Save your assessment submission and generate your results and recommendations.
  • Provide your downloadable summary and email your results when you request them.
  • Respond to inquiries, arrange calls, and discuss requested services.
  • Maintain relevant contact records in our CRM.
  • Send optional educational or promotional follow-up emails when you choose to receive them.
  • Contact relevant business prospects about our services where permitted by applicable law, taking account of their preferences and any required consent.
  • Maintain the website and workflow, troubleshoot errors, and protect against misuse.
  • Meet applicable legal obligations and handle privacy requests.

The company website you provide identifies the business your assessment relates to. The current assessment scores are generated from your submitted answers, not from an automated crawl or technical website audit. If we introduce a separate website review or crawl, we will explain that use when it is offered and update this policy where needed.

Assessment results and email choices

When you submit your details to start the assessment, they are saved in our CRM. Completed answers and results are also saved, including when you only download the PDF. Downloading a PDF does not remove the information already submitted.

If you request an emailed summary, we use your email address to deliver the requested results. If you separately opt in to follow-up emails, we may send up to four emails with practical information about websites, customer journeys, CRM, automation, and related Marvz Solutions services.

You can ask us to stop marketing emails at any time by emailing hello@marvzsolutions.com, replying to a monitored outreach email with an opt-out request, or using the unsubscribe link provided in our marketing emails. You can also ask us to delete your assessment or contact record, subject to any applicable legal exceptions. Withdrawing consent does not affect processing that was lawful before withdrawal.

Business outreach and do-not-contact requests

If we contact you using information obtained from Apollo, another lead provider, a referral, or a public business source, you can use the same opt-out options above. We will stop marketing to you and record your preference in our do-not-contact process, including in the systems we use to send outreach.

Where permitted, we retain only the limited information needed to honor that preference, such as an email address or another matching identifier and the opt-out date. This helps prevent a later lead import from adding you back to marketing. An opt-out from Marvz Solutions does not automatically remove your information from Apollo or another independent provider; you may contact that provider separately about its records.

Why we process information

Depending on the purpose and applicable law, we process information with your consent, to take steps you request before entering a service agreement or to perform that agreement, to meet legal obligations, or for legitimate interests such as maintaining secure services and managing business inquiries where permitted. Where legitimate interests apply, we consider the impact on your rights and expectations. Optional assessment follow-up emails use your opt-in consent.

For sourced business contacts, we assess whether outreach is permitted and whether consent or another lawful basis is required for the recipient and communication channel. Information being available in a lead database or on a public website does not, by itself, mean the person has agreed to receive our marketing.

Providers and disclosures

Our current assessment setup uses Hostinger for hosting, GoHighLevel, accessed through Gridoro, for the funnel, contact records, and email workflows, and self-hosted n8n on our Hostinger VPS to transfer assessment submissions to the CRM. Our website uses WordPress and Elementor.

Information may be processed by the providers supporting these services and their authorized subprocessors. Access should be limited to what is needed to provide the relevant service. We may also disclose information where required by law or necessary to protect legal rights.

Some processing may take place outside your country, including in the Philippines and countries used by our providers. Where applicable law requires safeguards for international transfers, we use the required contractual or other transfer arrangements. Contact us for information about the arrangements relevant to your data.

Cookies, browser storage, and tracking

The assessment uses browser session storage to preserve your details and progress within a browser tab. Closing the tab generally ends that session, although browser session restoration may restore stored information. Clearing browser storage does not delete information already submitted to our CRM or automation services.

Our website, funnel, and embedded services may also use cookies or similar technologies for necessary functions.

Links we share may include UTM parameters or other campaign identifiers that help identify the source, medium, or campaign associated with a visit or inquiry. Where our configured systems capture these values, they may be stored with a form submission or contact record in GoHighLevel or another connected CRM or analytics service. A UTM parameter is a label in a URL; it is not itself a cookie.

Where enabled, website and email tools may measure visits, form submissions, campaign attribution, email opens, and link clicks. Tracking pixels, cookies, or similar technologies may support these functions. Email-open data can be affected by email privacy features and may not accurately show whether someone read a message.

We may add or change analytics tools in the future. This statement does not mean every possible tool is currently active or that you have agreed to future tracking. We will update this notice and provide any additional information or consent choices required before introducing new tracking uses. Contact us for information about the tools currently enabled. Unsubscribing stops future marketing emails; browser and cookie controls apply separately to website tracking.

Where required, we ask for consent before using non-essential cookies or similar tracking technologies. You can also manage browser storage and cookies through your browser settings.

How long we keep information

For people who have not become customers, we keep assessment and prospect information for up to six months after the last relevant interaction. For sourced contacts who have not interacted with us, this period starts when we obtain their information.

For former customers, we keep relevant customer information for up to two years after the customer relationship ends. During an active customer relationship, we retain information needed to deliver and manage the services.

These periods do not override a legal requirement to retain particular records, such as accounting documents, or a justified need to handle an ongoing dispute. Where permitted, limited unsubscribe or suppression records may be retained longer to prevent unwanted future contact.

Operational logs are kept only as long as needed for security and troubleshooting and are subject to our retention schedule. Deleted information may remain in restricted backups until normal backup rotation removes it. We delete or anonymize information when it is no longer needed.

Protecting information

We use reasonable technical and organizational measures, including restricted access and encrypted connections where supported, to protect personal information. No online service can guarantee complete security.

Your choices and rights

Depending on applicable law, you may have rights to receive information about processing, access your personal information, correct inaccuracies, request deletion, restrict or object to processing, obtain a portable copy, or withdraw consent. These rights may be subject to legal conditions and exceptions.

Contact hello@marvzsolutions.com to make a request. We may ask for proportionate information to verify your identity before disclosing or changing personal information.

You can also raise a complaint with the relevant data protection authority. In the Philippines, this is the National Privacy Commission: https://privacy.gov.ph.

Assessment ratings help you identify practical next steps. They are not used to make decisions with legal or similarly significant effects about you.

Other websites and children

Links to other websites lead to services governed by their own privacy policies. Our business services and assessments are intended for adults and are not directed at children. Contact us if you believe a child has provided personal information so we can review and address it.

Updates

We may update this policy when our services or data practices change. The updated version will appear on this page with a revised date. Where required, we will provide additional notice or request consent for a new use of information.
